Lobster ID Company Admin

Prev Next

Every customer company is a group of its own in Lobster ID. One or more people from your company manage who has access to the Lobster services: you invite new colleagues, grant and change their permissions, and withdraw access again. You decide yourself, and your changes take effect immediately, without going through support.

In the interface this role is called Group Admin. It means the same thing.

How Your Company Gets a Company Admin

Lobster sets up the first company admin. Raise a ticket in the support portal to request it. Beyond that, Lobster support only steps in for exceptional cases.

We recommend appointing at least two company admins. You can appoint further admins yourself at any time. The one thing you cannot change is your own permissions: if you need additional ones, a second company admin grants them to you. If you are the only one in this role, Lobster support helps you out. Having two also keeps your company able to act during holidays, illness or staff changes.

Opening the Company Administration

You reach the company administration at Lobster ID Company Admin

Without administration rights, sign-in is refused.

After signing in, the start page asks which company you want to manage. If you manage several companies, each one has its own card.

Every card gives you three options:

  1. The card itself selects the company and takes you into managing it.

  2. The people icon opens the user administration for that company.

  3. The envelope icon invites a new user into that company.

A person can be a user in several companies and hold different permissions in each, for example as an external service provider. An invitation can also assign a person to several groups at once.

Managing Users

The people icon takes you into the user administration for your company, headed Manage User Accounts. Each user appears as a card of their own. The search field filters the list, and next to it you see how many users your company has.

On each user card and above the list you find these icons:

  1. The three-dot icon opens the menu with Edit Profile and Remove User.

  2. The shield icon shows that the user account is confirmed.

  3. The envelope icon on the card shows that the email address is verified.

  4. The envelope icon in the top right takes you to the pending invitations.

  5. The list icon next to the search field switches between card and list view.

The menu behind the three dots has two entries:

  • Edit Profile opens the user profile for editing.

  • Remove User ends the user's membership of your company. The personal account remains.

What You See About Your Users

You do not see users of other companies. Whether you are shown the contact details of your own users, and whether you can edit their data, depends on the settings of your company group.

Viewing and Editing a User Profile

A user profile has four tabs:

No.

1

2

3

User Activities

Activity log

Under Profile you edit the email address, given name, family name, mobile number, username, website, locale, language, company name, license ID main system and the checkbox for displaying the company name. Mandatory fields are marked with an asterisk. Save applies your changes.

The User Activities tab shows the user's recent activity, such as sign-ins and changes to the account, with the time, sign-in method, device and location.

Granting and Changing Permissions

The Groups and Roles tab is where you set what a user is allowed to do. The permissions are listed with checkboxes, and the search field helps you find a particular one. Tick the ones your colleague needs for their work and save.

Inviting Colleagues

The envelope icon takes you to User Accounts / Invite User. The process has two stages: first you enter the email address and select Check User. Lobster ID uses this to check whether an account already exists for that address. Only then do you fill in the remaining details and grant the permissions.

If an account already exists, the person is assigned to your company instead of a second account being created.

Every invitation has to include at least one permission. Grant the permissions your colleague needs for their work.

The invited person receives an email with the subject "Your invitation to Lobster ID", stating who invited them. Using the "Accept Invitation" button, they create their account and set their own password.

A password is never sent by email. That applies to every route by which an account is created in Lobster ID.

Pending Invitations

Under Pending Invitations, the Invited Users area lists every invitation that has not been accepted yet, each with the date it was sent. You also get there through the envelope icon in the top right of the user administration.

Every card gives you two options:

  1. The envelope icon sends the invitation again.

  2. The bin icon withdraws the invitation.

What Is Not Possible, and Why

Editing your own company admin profile. When you open your own company admin profile in the company administration, the fields are locked. This means you cannot grant permissions to yourself either. A second company admin can make the change for you.

Deleting a user account. A Lobster ID belongs to the person, not to the company. What you end is the user's membership of your company, and with it their access to all services of your company, immediately. The personal account remains and can keep being used, for another company for instance. Only the person themselves can delete the account, at any time in their user profile.

Deactivating or blocking an account. There is no such function. If you want to take someone's access away, remove the user from your company. That takes effect immediately and covers all services of your company.

Resetting a colleague's password. For security reasons a company admin cannot change another person's password. That way no one can take over someone else's account. Anyone who has forgotten their password resets it themselves with "Forgot password" on the sign-in page.

Frequently Asked Questions

I cannot edit my own company admin profile. That is intended. A second company admin can do it for you.

I removed a user and they can still sign in. The personal account remains. The person still signs in to Lobster ID but no longer reaches your company's services.

A colleague has two accounts. Add the existing account instead of sending a new invitation.

My colleague registered themselves but cannot get into the portal. Self-registration does not assign anyone to a company. Add them as a user and grant the necessary permissions.
